Supportbench HubSpot customer support integration guide

Connect HubSpot CRM and Supportbench so support teams can work with synchronized company and contact context, export cases as HubSpot Tickets, and bring associated HubSpot notes back into the customer timeline.

  • Import HubSpot companies and contacts with filters and field mappings
  • Export eligible Supportbench cases into the right HubSpot ticket pipeline
  • Import ticket notes and selected custom objects into Supportbench

Each synchronization direction is explicit. Administrators control private-app access, modes, filters, mappings, ticket stages, custom tables, and recovery actions per Supportbench tenant.

A native HubSpot integration built for B2B support operations

Keep CRM context and support execution connected without replacing either team’s system of record or adding a third-party synchronization service.

Requirements

What you need before connecting

Create a HubSpot private app for Supportbench and grant only the scopes required by the synchronization areas you plan to enable. In Supportbench, configure the connection while signed in to the correct tenant with permission to edit integrations.

Company synchronization should be configured before dependent contacts or ticket exports so HubSpot associations resolve to the correct Supportbench records.

Setup

Connect HubSpot to Supportbench in six steps

Start with a least-privilege private app, validate the token, and then enable only the synchronization directions your teams need.

01

Create a HubSpot private app

In HubSpot, create a private app for Supportbench and enable access to the CRM objects, properties, schemas, and associations you will synchronize.

02

Copy the access token

Copy the private app token and store it securely. You will enter it once in the tenant-specific Supportbench connection settings.

04

Save and test the connection

Enter the private app token, save the configuration, then select Test Connection and confirm the expected HubSpot portal.

05

Configure synchronization

Select company, contact, and ticket modes; add filters and mappings; configure ticket stages; and assign any custom-object table slots.

06

Refresh, sync, and monitor

Refresh schema choices, run the initial synchronization, review counters and connection health, and use failure notifications for repeated problems.

Confirm object order and associations first

Contacts and ticket exports depend on an already-synchronized company. Validate company matching and representative field mappings before expanding the production dataset.

Data flows

Control what moves between HubSpot and Supportbench

Each object has its own direction, eligibility rules, filters, mappings, and operational controls.

Companies import with mapped CRM properties

HubSpot companies import into Supportbench and retain their provider source identity. Administrators can synchronize active records only, apply property filters before import, map standard fields, and populate Supportbench company custom fields from HubSpot properties.

Contacts can import or synchronize both ways

Choose import with create and update, import that updates existing contacts only, or import plus create and update in HubSpot. HubSpot associations resolve contacts to an already-synchronized company, and mapped custom properties can populate Supportbench contact fields.

Eligible cases export as HubSpot Tickets

Unsynchronized Supportbench cases within the configured lookback window can export after their related company is synchronized. Select the HubSpot ticket pipeline, open and closed stages, and map standard or custom case fields into the HubSpot ticket properties your CRM team uses.

Associated ticket notes return as activities

Notes linked to synchronized HubSpot Tickets import into Supportbench activities. The shared synchronization identity prevents the same provider note from creating duplicate timeline activity during retries or later synchronization passes.

Filters & field mapping

Synchronize the records and properties support actually needs

Use HubSpot properties, relationship order, and object-specific modes to keep each synchronized dataset intentional.

Property filters

Apply filters before a company, contact, or custom-object record imports.

  • All configured rows must match
  • Use any, none, known, or unknown operators

Multiple values

Provide multiple accepted values within one property-filter row.

  • Comma, semicolon, or line separated
  • Keep CRM eligibility rules explicit

Standard mappings

Start from suggested HubSpot properties for common Supportbench fields.

  • Leave unused rows blank
  • Validate field formats before bulk sync

Custom properties

Map company, contact, case, or Data Table fields to the HubSpot properties your teams maintain.

  • Saved property names remain editable
  • Refresh schema to load current choices

Relationship order

Synchronize company identity before dependent records.

  • Companies before contacts
  • Companies before ticket exports

Operational recovery

Use connection health and targeted checks before a full resynchronization.

  • Test token and scopes
  • Refresh properties and schemas
A HubSpot display label can change while its internal property name remains the synchronization contract. When a mapping fails, verify the property name, private-app scope, field permissions, value type, and association.
Custom objects

Import HubSpot custom objects into Supportbench Data Tables

Configure up to six independent custom-object slots. Each slot selects one HubSpot schema and one authorized Supportbench Data Table, then defines whether rows associate through a company or contact.

  • Map Supportbench Data Table field IDs to HubSpot properties
  • Associate imported rows to companies or contacts
  • Apply optional property filters before import
  • Track synchronization counts and queued full-resync state

Protect the connection and operate it deliberately

The modern Supportbench settings experience encrypts the saved HubSpot private app token and does not return it to the browser. Configuration is tenant-specific and restricted to users who can edit integrations.

  • Create a dedicated private app with least-privilege scopes
  • Use optional email recipients for repeated sync failures
  • Disable synchronization while keeping settings and mappings
  • Remove the configuration without deleting imported Supportbench data

HubSpot integration FAQ

Answers and quick fixes

Is the HubSpot integration native to Supportbench?+
Yes. HubSpot connection, synchronization modes, mappings, filters, health checks, ticket export, note import, and custom-object imports are administered directly in Supportbench without a third-party connector.
Which HubSpot records can Supportbench synchronize?+
Supportbench can import HubSpot companies and contacts, export eligible Supportbench cases as HubSpot Tickets, import notes associated with synchronized tickets as Supportbench activities, and import selected HubSpot custom objects into Supportbench Data Tables.
Is the HubSpot synchronization bidirectional?+
Synchronization is object-specific. Companies import from HubSpot. Contacts can import only or optionally create and update HubSpot contacts. Supportbench cases export to HubSpot Tickets, while associated HubSpot notes import back into Supportbench activities.
What HubSpot credentials are required?+
Create a HubSpot private app and provide its access token. The app needs access only to the enabled companies, contacts, tickets, notes, properties, schemas, custom objects, and associations used by your configuration.
Can we filter imported HubSpot records?+
Yes. Administrators can apply property filters before company, contact, or custom-object records import. All configured filter rows must match, while each row can accept any, none, known, or unknown conditions and multiple values.
Can we map HubSpot custom properties?+
Yes. Standard and custom Supportbench fields can be mapped to HubSpot properties. Blank mappings are ignored, and saved property names remain available if a HubSpot property is later renamed or removed.
Can Supportbench import HubSpot custom objects?+
Yes. Configure up to six custom-object slots. Each slot selects a HubSpot schema, a Supportbench Data Table, company or contact association behavior, field mappings, and optional import filters.
What should we do if HubSpot synchronization stops?+
Review connection health and failure notifications, then use Test Connection and Refresh Schema. Verify the private app token, scopes, object permissions, filters, pipelines, stages, and property mappings before running a full resynchronization.
