Requirements

Who can install the integration

The Supportbench Zoom app is admin-managed. Installation and authorization must be completed by an administrator of your Zoom account. In Supportbench, the person connecting Zoom must be signed in to the correct tenant and have permission to edit integrations.

Zoom Meetings and Zoom Phone features also require the corresponding Zoom licenses and account features.

Setup

Install and authorize in five steps

The whole flow takes a few minutes, and it always starts from your Supportbench settings page.

Review the options

Look over the available Meetings and Zoom Phone options. Leave Active off until authorization is complete.

Authorize with Zoom

Select Authorize with Zoom, sign in as a Zoom account administrator, review the requested permissions, and approve the app.

Confirm the account

After Zoom returns you to Supportbench, confirm that the connected Zoom account shown is the one you expect.

Sync hosts and go live

Select Sync Hosts, choose a default host when required, enable the options your team needs, switch Active on, and save.

Always start from Supportbench

Starting from the Supportbench settings page establishes the correct tenant before the Zoom OAuth flow begins. Don’t reuse an authorization link copied from another tenant or browser session.

Schedule and manage meetings

When calendar meetings are enabled, authorized Supportbench users can create, update, view, and delete Zoom meetings from supported Supportbench calendar workflows. The selected Zoom host is synchronized to the corresponding Supportbench user. Depending on your settings and Zoom account capabilities, Supportbench imports meeting summaries, transcripts, and recordings as private customer-support artifacts.

Log calls against the right customer

When Phone logging is enabled, signed Zoom Call Element events are processed into one tenant-scoped Phone Log for the durable call identity. Optional inbound auto-case creation applies your configured routing and fallback behavior, and calls associated with a case can create one private case Activity. Phone summaries, transcripts, and recordings are imported only when the related options are enabled and your Zoom account makes those artifacts available.

Zoom may also display related webhook-event permissions that let Zoom notify Supportbench about meetings, recordings, and current Zoom Phone Call Elements. Supportbench validates Zoom-signed webhook requests before processing them.
Data & privacy

Data Supportbench receives and stores

Depending on the features you enable, Supportbench may receive and store Zoom OAuth credentials, connected-account and Zoom-user identity, meeting and call identifiers and metadata, participant or caller and callee details supplied by Zoom, meeting links, status and timing, and available recordings, transcripts, and summaries. Data is used only to provide the configured Supportbench integration.

  • OAuth credentials are encrypted before storage
  • Zoom-derived records are tenant-scoped and protected by Supportbench authentication, permissions, and record-access rules
  • Imported recordings, transcripts, and summaries are private tenant artifacts in protected storage
  • Credentials, raw customer payloads, and credential-bearing download URLs are excluded from application logs

Supportbench attempts to revoke the Zoom authorization, always clears local access and refresh credentials, and disables the integration. Your tenant’s settings and existing customer records are preserved so an administrator can reconnect safely.

Uninstall in Zoom

Zoom sends a signed deauthorization notice. Supportbench disables the installation, clears credentials, and removes Zoom-owned data: synced users, queued and raw events, interaction artifacts, downloaded Zoom files, Zoom-created private Activities and Phone Logs, and virtual-meeting provider metadata. Customer-authored Cases and Calendar Events are retained, and stored Zoom join links are removed from retained calendar summaries.

Troubleshooting

Quick fixes for common issues

“Application not found”+
Confirm that you started from the Supportbench Zoom settings page and that the Zoom app is available to your Zoom account.
“Administrator approval required”+
Ask a Zoom account administrator to install and authorize the app.
No hosts appear after connecting+
Confirm the connected Zoom account can view users, then select Sync Hosts again.
No Phone activity or artifacts+
Verify the required Zoom Phone license, the related Supportbench option, the Zoom recording, transcript, or summary feature, and the provider’s processing status.
Authorization expired+
Disconnect, then authorize again from the correct Supportbench tenant.
